Chapter Secretary

The Chapter Secretary serves as the steward of HLNY’s governance records, official communications, and organizational continuity. This role helps ensure the Board of Directors operates effectively by maintaining accurate records, supporting chapter governance, coordinating official communications, and preserving institutional knowledge for future leaders.

Working closely with the Chapter President, President-Elect, and Board of Directors, the Secretary plays an essential role in maintaining transparency, organizational effectiveness, and continuity across leadership transitions.

Responsibilities

  • Record and maintain official minutes of Board and chapter meetings, ensuring timely distribution following approval.
  • Maintain chapter governance records, official documents, and electronic systems necessary to support Board operations and organizational continuity.
  • Coordinate official communications to members regarding governance updates, elections, chapter announcements, and other official notices.
  • Support the President-Elect in administering Board elections in accordance with the chapter bylaws.
  • Partner with the Marketing and Communications Committee Chair to ensure consistent and effective chapter communications.
  • Serve as a voting member of the Board of Directors and support governance activities across the organization.
  • Promote member engagement, support membership growth, and assist with fundraising and sponsorship efforts.
  • Ensure a smooth leadership transition by preparing and onboarding the incoming Secretary.

Qualifications

  • Prior HLNY leadership experience, including at least two years of committee membership or one year serving as a Committee Chair.
  • Strong organizational, administrative, time management, and communication skills.
  • Member in good standing with HLNY for at least one year.

Term of Office

  • One-year term.

Time Commitment

  • Approximately 10 hours per month.
  • Attend the ACHE Chapter Leaders Conference and ACHE Congress, when possible.
  • Regular attendance at Executive Board and Board of Directors meetings.
  • Active participation in the chapter’s signature programs and events, including the Annual Gala & Awards Ceremony, Mini-Congress, Cocktails with the Chiefs, Past Presidents Boat Cruise, Holiday Party, and other key chapter activities.

Provide ongoing support to assigned committees and chapter leadership throughout the year.
